What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

We also collect video recordings for the purposes of a preselection round at our competition through our google registration form.

Registration forms

With our online registration form for entry in the competition we collect all the necessary data in order to successfully organise our competition. This includes personal information such as name, address, pictures, video presentations and biographies.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

Information of general website-visitors will not be shared. We may pass your non-personally identifiable visitor information to a third party service provider, Google Analytics, google forms and StatCounter, which we use to keep track of our communication channels and to improve the OHRID PEARLS online services, for example by measuring how many visitors the OHRID PEARLS website receives or how often a news item is clicked. However, when we use third party service providers, no personal information is disclosed as all the information is anonymized. Google Analytics, google forms and StatCounter may perform third party behavioral tracking.

On our website we collect more information that our members provide themselves, for example by filling the contact form. This data will only be used by the OHRID PEARLS office in order to fulfill the purpose for which you filled it in. Data that you share on your institution or data that is personal within the member space or vacancy platform will be published on our website and will therefore be available to anyone that visits our website.

Depending on the nature of the information and the purpose for which this information is collected your data might be processed by a different party than the OHRID PEARLS office. OHRID PEARLS ensures that, where relevant contractual safeguards are implemented to ensure the protection of your personal data when disclosing your data to a third party. The third parties we deal with can be divided in non-EU processors and EU-processors. All of them are listed below.

The following list of processors indicates the organizations that OHRID PEARLS can possibly share your data with the links refer to the privacy policies on their websites. We made sure that the non-EU processors are in agreement with the GDPR due to the EU-US privacy shield.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register for our competition, we also store the personal information they provide in their user profile. All users can request to see, edit, or delete their personal information at any time. Website and competition administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

What data breach procedures we have in place

Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential. We encrypt sensitive data in our databases.

We implement a variety of security measures when a user enters, submits, or accesses their information to maintain the safety of your personal information.

If a data breach occur, we will take the following responsive action:

  • we will notify you via email within 72 hours
  • we will notify the users via in-site notification within 72 hours
